Free onboarding for managing agents

One platform for your blocks, and we move you onto it for free

Repairs, leaseholders, service charges, accounts and correspondence in one place, instead of separate systems for repairs, leaseholders and accounts. Send us what your current systems export and we bring it across, at no cost.

Marklet portfolio dashboard showing every managed estate with its compliance, issues, replies and money owed

Every estate you manage, worst first: compliance, open issues, unanswered email and what is owed.

Five places to look, or one

One Marklet workspace

  • Repairs and works
  • Leaseholders and directors
  • Service charges and accounts
  • Email
  • Compliance

One login, one record per block, one portfolio for the firm.

Sound familiar?

What running blocks across several systems costs a managing agent every week, and what replaces it.

Three logins to answer one leaseholder

The repair is in one system, the leaseholder portal is another, and what they owe sits in the accounts package. Every question means checking all three and hoping they agree.

One record per block

The same block typed in three places

Units, leaseholders and contractors are kept separately in each system, so a change of address or a new contractor is three updates, and one of them always gets missed.

One directory of contacts

Directors chasing you for updates

When the board cannot see progress, it emails. Every chaser is time spent reporting on work rather than doing it.

Directors see their own block

The history lives in one person's inbox

Instructions and decisions sit with whoever received them. Holiday cover needs a handover note, and a departure takes the context with it.

Email filed against the block

Deadlines in a spreadsheet

Inspections, certificates and section 20 stages tracked in a sheet only one colleague trusts, beside software that does not know about them.

A compliance calendar with clocks

Year end is an export marathon

Budgets, invoices and balances pulled out of each system and stitched together by hand before the accountant can start.

Budgets and actuals in one place

One platform

Everything in one record

Each block is one workspace, and your firm sees them all from one portfolio.

Repairs and maintenance

Every repair logged once, with who raised it, what was agreed and when it was done. Works orders hold the quotes, the contractor and the paperwork, and accepting a quote checks the contractor's insurance and accreditation dates and the section 20 threshold.

Service charges and accounts

Budgets against actuals, demands apportioned on the basis you use, and one account per unit for demands, payments and arrears. Xero, QuickBooks Online, Sage Accounting and FreeAgent connect so spend reconciles without re-typing it.

Correspondence with the work it is about

Forward a block's email to its dedicated address and every message is archived, threaded and searchable, and can be attached to the issue it concerns. The whole firm sees the history, not just whoever received it.

Compliance and section 20

Recurring inspections and certificates with the date they fall due, section 20 consultations recorded flat by flat, and a complaints register, all with an append-only audit trail behind them.

Your whole portfolio, one login

Every block you manage at a glance: open issues, upcoming deadlines and service charge positions, and one customer's block is never reachable from another's.

Your team, in one view

Each colleague's open issues, works, chases and tasks side by side, the work nobody is on yet, and moving work from one person to another. For portfolio admins and portfolio managers.

Contacts, leaseholders and directors

One directory of leaseholders, residents, contractors and advisers. Leaseholders get their own view of their flat, and directors see their block's progress for themselves, each seeing only what their role allows.

Demands, unit accounts, works orders and accounting integrations are on the Management plan. Everything else is on the features page.

How the move works

The work stays on our side. You take the exports; we do the rest with you.

  1. 1

    A walkthrough

We look at what you use today, for repairs, for leaseholders and for the accounts, and agree which blocks move first. You can start with one.

  2. 2

    Export what you hold

We tell you which reports and downloads to take from each system. Take them before you give notice, while you still have full access.

  3. 3

    We map it into Marklet

The files go into your own Marklet workspace and we do the mapping. You do not fill in templates or re-key anything.

  4. 4

You check it before it is saved

Flats, people, balances, contractors, certificates and repair tickets are shown as a preview first. Nothing from them is saved until you confirm it.

  5. 5

Invite people when you are ready

Your team first, then directors and leaseholders block by block, on the day you choose.

What we bring across

  • Flats, leaseholders and their contact details
  • Apportionment shares
  • Opening balances for each unit
  • Your contractors
  • Certificates and insurance schedules, read from the PDF
  • Budgets, accounts and invoices
  • Leases, reports and the rest of the block's documents
  • Repair ticket history, open and closed, on the right building and flat

Whatever you use today

If your blocks run across two or three of these, they all come into one place.

A repairs reporting tool

such as Fixflo

Repairs become issues in the block they belong to, beside the correspondence, the works order and the service charge line they end up on. Your contractor list comes across as directory records.

A leaseholder portal

such as MyBlockMan or MyBlockOnline

Leaseholders and their flats come across, and each gets their own view of what they hold, what has been reported on it and, where the block raises demands through Marklet, what they owe.

A block management system

such as Dwellant, Qube or Blocks Online

Units, leaseholders, contractors and documents come across, and budgets, invoices and opening balances follow from wherever your ledger is kept, into the unit accounts and the service charge year. If you also use Xero, QuickBooks Online, Sage Accounting or FreeAgent, it can stay connected.

Spreadsheets and shared drives

for everything else

Compliance dates, contractor lists and document folders are often the part that lives outside any system. They come across too.

Fixflo, Dwellant, MyBlockMan, MyBlockOnline, Qube and Blocks Online are trade marks of their respective owners. Marklet is not affiliated with or endorsed by any of them, and works from the exports you take rather than connecting to their systems.

Frequently asked questions

Is moving to Marklet really free?
Yes. We do the work of bringing your data across: the walkthrough, telling you what to export, the mapping and checking it with you. You pay for your Marklet subscription, not for the move.
Do we have to move every block at once?
No. Each block is its own workspace in your portfolio, so you can move one block, see it working, and bring the rest across when it suits you.
Which systems can you bring data from?
Any system that lets you export your records as a spreadsheet, CSV or PDF, including repairs tools, leaseholder portals, block accounts systems and your own spreadsheets. We do not connect to other vendors' systems directly; we work from the exports you take.
Can we bring our repair history?
Yes, from a spreadsheet or CSV export of your tickets. Each one is recorded as an issue on its building and flat, with its status, dates and contractor. It comes across as history: only directors and managers see it, and nobody is notified.
What happens to our accounting package?
If you use Xero, QuickBooks Online, Sage Accounting or FreeAgent, it can stay. Marklet connects to it so spend reconciles without being typed twice.
Can we see what each of our team has on?
Yes. Portfolio admins and portfolio managers have a Team view on the portfolio dashboard: each colleague's open issues, works, chases and tasks, the work nobody is on yet, and a way to move work from one person to another.
Do leaseholders have to do anything?
Nothing until you invite them, and you choose when that is. Once invited, they sign in and see their own flat.
What if a client later moves to another agent?
Their block's records can be exported as a handover pack: documents with their version history, the compliance calendar, issues, complaints and the audit trail. There is no exit fee.
