Parish and town councils · England

The council's buildings, on one record

For clerks and the councillors they answer to.

Halls, pavilions, toilets, play areas and shelters: Marklet gives a parish or town council one place for its assets, inspections, works, budget and meetings, so the record outlives whoever holds the role this year.

What the clerk keeps, in one place

Every building, every check and every job, with the spend and the decision beside it.

An asset register for every building

Record what each building holds, from the boiler and the roof to play equipment and shelters: location, make and model, year installed, expected life, replacement cost and condition, with the survey the condition came from.

Inspections and building checks

Record play area inspections, the fire risk assessment and its reviews, legionella, electrical and gas checks, on the schedule you set, with what is due and overdue on the calendar. In England, the Fire Safety Order requires the responsible person to record the fire risk assessment.

Works and contractors

Raise works orders, send a contractor a link to the job, compare quotes and keep the sign-off with the order. What an inspection recommends can become a works order or an item in the ten-year plan.

Budget against actual

Set the year's budget for your buildings and track spend against it as invoices arrive. Connect Xero, QuickBooks, Sage or FreeAgent.

Meetings and minutes

Keep meetings, agendas, minutes and resolutions, with overdue checks suggested for the agenda.

Grants and documents

Record the grants that fund your works, their conditions and reporting dates, and file every building's documents in one place. Put questions to your own records with Ask Mark.

Beside your accounts, not instead of them

Your accounts package keeps the books and the annual return. Marklet keeps the buildings: what is there, what condition it is in, what was checked and when, what was done about it, what it cost and what the council agreed.

Not built for flats: no units, leaseholders or service charge demands
One workspace for all of the council's buildings

Getting set up

No IT knowledge needed.

  1. 1

Choose "A building the organisation uses and looks after itself", then "A parish or town council's buildings". You are not asked about flats or leaseholders.

  2. 2

    A person checks the signup

While this plan is new, someone here looks at every signup before the workspace opens, and we email you.

  3. 3

    Add your buildings

Start with one building and add the rest once you are in: the hall, the pavilion, the toilets. Play areas, shelters and grounds are recorded as assets, not as buildings.

  4. 4

    Choose your checks

Pick the inspections and building checks you want to track and how often, and record when each was last done.

  5. 5

    Invite councillors

Give councillors read access to the works and the grants, while the clerk keeps the record up to date.
